How you contribute in your role You play an important role
in supporting all tenders of the Procurement Team (AT). In this position, you will work closely with the procurement advisor, both in large-scale and small-scale tenders. It is a multifaceted role in which collaboration and mutual support are central, both with your direct colleagues within the back office and with the AT advisors. You are involved in multiple tenders at the same time.
Your responsibilities include:
working in TenderNed: drawing up announcements, uploading and publishing tender documents, processing requests for changes
Testing bank guarantees to meet required standards
Efficient processing of physical and digital incoming mail
Fulfilling the role of secretary and administrative elaboration of documents following tenders or lotteries
searching for documents and keeping overviews in SAP and Excel, planning tenders in Outlook, keeping a list of actions for the AT plenary meeting and incidental minutes of meetings

By carrying out your tasks, you contribute to the smooth execution of tendering processes and ensure that the Tendering Team can operate efficiently and effectively. You are an important link in coordinating and administratively supporting various aspects within the team, ensuring the successful course of projects.
Collaboration and mutual support are central to this role. As an administrative assistant, you will work closely with direct colleagues within the back office as well as with the advisors of the Tendering team. This team-oriented aspect not only provides a positive working environment, but also the opportunity to jointly contribute to the success of projects.
Because of your excellent command of the Dutch language, both verbally and in writing, you contribute to effective communication within the team, the preparation of documents and the provision of accurate reporting.

Would you like to work at Rijkswaterstaat within Major Projects and Maintenance (GPO)? This organisational unit shapes the Dutch infrastructure through iconic projects. On the one hand, GPO is responsible for all construction and maintenance projects and, on the other hand, for complex replacement and renovation projects. Some even have a sizable industrial automation component. Examples include projects such as the reinforcement of the Afsluitdijk and the sustainable IJmuiden sea lock, the renovation of the 1st Heinenoord tunnel and the wind farm on the Maasvlakte in Rotterdam. GPO’s mission of 2030 is to ensure that Rijkswaterstaat, and all its infrastructure projects, operate in an energy-neutral way. Together with partners, such as municipalities, provinces, water boards and market parties, GPO strives for projects with social added value.

In total, more than 900 people work within GPO, spread over four directorates: Procurement & Contract Management, Production & Project Management, Technology & Technical Management and Operations & Project Management.

Procurement and Contract Advice (ICA), The Procurement Team The Procurement Team
works for Major Projects and Maintenance (GPO) and Programmes, Projects and Maintenance (PPD) and falls under the Procurement and Contract Advice (ICA) department of the Procurement and Contract Management Department.
The Procurement and Contract Advice department consists of 4 teams with a total of approximately 125 employees, of which 1 of the 4 teams is the Procurement Team with a department head and a coordinator. The Tendering Team consists of 18 tendering team advisors (AT advisors) and 3 back office employees.
It is a stable, enthusiastic and sociable group of colleagues who work closely together. There is a good balance between the workload and job satisfaction is very important. Once a month, a meeting takes place with all AT advisors during which various topics are discussed, knowledge is shared and exchanged. As an administrative assistant, you will provide administrative support to all AT advisors regarding GPO and PPO tenders.
