Administrative Assistant at Leiden University

The Expertise Centre for Student and Educational Affairs (SOZ), Student Support Services department, is looking for a support team that:

Administrative assistant (0.8-1,0 FTE)
Activities and profile

The activities:

  • You manage and carry out a number of administrative processes relating to decisions in the context of the binding study advice, board grants, certificates, etc.;
  • You propose improvement proposals with regard to the more efficient and effective organization of these administrative processes;
  • You keep the information about these processes on the website up-to-date.
  • Together with your colleagues from the support team, you take care of agenda management, planning and taking minutes of meetings, welcome new employees, purchase office supplies, etc.;
  • You answer questions from students and staff and refer them to the right person.

Your profile:

  • You have MBO or HBO working and thinking level and you have at least 2 years of experience in a similar position;
  • You are efficient and accurate, decisive and feel at home in a dynamic environment:
  • You are an expert in MS Office and have experience in digitizing administrative processes and organizing systems such as a database;
  • You have the following competencies: customer-oriented, communicative, planning and organizing, collaborating, organizationally sensitive.
  • You have excellent verbal and written skills, both in English and in Dutch. The required level of English is set at level C1 (active and passive);

The
Centre of Expertise for Student and Educational Affairs (SOZ/SEA) of Leiden University facilitates studying, students and study success by supporting students and student counsellors, carrying out administrative processes and contributing to an optimal living and learning environment.

The administrative assistant is housed in the Student Support Services department. This department aims to promote the academic success of students. It does this by means of information, advice, guidance, workshops, courses and various programmes for (prospective) students (including the introduction weeks). The department actively contributes to the promotion of the expertise of faculty intermediaries (in particular study advisors).

The department includes student counsellors, student psychologists, study choice and career advisors and staff members of the student well-being team. In addition, the department pays special attention to refugee students and students with a disability.
The support team is responsible for supporting a number of administrative processes such as making decisions in the context of binding study advice, board grants, certificates, funds, etc. In addition, the team takes care of agenda management, planning and taking minutes of meetings, welcoming new employees, purchasing office supplies, etc.

We offer
Appointment takes place in accordance with the Collective Labour Agreement for Dutch Universities, for a period of one year. Depending on education and work experience, the salary is a minimum of €3,072 and a maximum of €4,130 per month for a full-time appointment (scale 8).

In addition, Leiden University has good working conditions. For example, there is an end-of-year bonus (8.3%), holiday allowance (8%), excellent training facilities, paid parental leave and the possibility to choose tailor-made employment conditions via a choice model.
